EBS - Emergency Broadcast System

This article shows how to use an authorized mobile phone to send simple text messages to control Emergency Broadcasts to selected groups of your staff members using 1-800 Notify.

PRE-REQUISITES

UPLOADING YOUR CONTACTS

Before you get started, you need to upload a set of contacts including group names and authorized PIN numbers and contact information for all your staff.

ACQUIRE A DEDICATED CONTROL PHONE NUMBER FOR YOUR ORGANIZATION

Contact 1-800 Notify (info@1800notify.com or 1-800-939-1853) to setup a dedicated phone number to use to control your own organization's Emergency Broadcast System.  

CREATE A NEW EBS MESSAGE

WHEN TO USE

- Natural disaster closes specific clinic and you need to notify staff.

- Weather closes one or more clinics and you need to notify staff.

- Active shooter situation

- Need to alert all staff of any important or immediate situation

 

HOW TO USE

If your mobile phone is authorized with a PIN number in the uploaded data file, then you can control the system.

Send a specifically formatted text message from your mobile phone to your dedicated control phone number. (see above)

 

GETTING THE GROUP LIST

Send a text message from your phone to your dedicated number.

To:   386-nnn-nnnn 

Text message: 1234. list    

       Note: 1234 is your pin number, "list" is command to list groups.

System Response:

2 Chester Clinic

3 Downtown Clinic

4 East Side Clinic

5 East Hospital

6 Main Street Clinic

7 Oceanside Therapy

8 West Hospital

 

SENDING A MESSAGE TO ONE OR MORE GROUPS

To: 386-nnn-nnnn

Text Message: 1234. All. 1 3. Downtown clinic closed due to flooding on main street.  Do not report to clinic, instead call 800-nnn-nnnn for more information.

Note: "All" will send phone, text and email to every contact who has these contact methods specified in the uploaded data file.  If you only wanted to send a phone, call you would replace "All" with "Phone", "Email" would only send emails and "Text" would only send text messages.

System Response:

Administration: 20    << 20 people in the "Admin" group
Downtown Clinic: 15  << 15 people in the "Downtown clinic" group
Total messages: 40    << 40 total messages (email, phone, text)
Total Contacts: 35     << 35 total people in all selected groups
*To cancel:
[pin]. no

Note: You now have 2 minutes in which to reply “[pin].no” if you wish to cancel the sending of this message.  

If you do not reply, then the message will be automatically sent via the preferred message types.
