How to Take Screen Shots of Your Computer Applications (Windows) Artwork

This article shows you how easy it is to take screen shots on your computer and paste them into a word processing document such as Microsoft Word.  

 

Screen shots can be very helpful for training purposes.  We do it all the time to create articles like this one.

1. Start up the application for which you want to take screen shots.

TIP: If you are taking step-by-step images of a specific process, then start at the very beginning so it's easy for your user to follow the instructions.

2. To take a screen shot of just the active window of your application , hold the ALT key down (usually on either side of your space bar) and press the PrtScn (Print Screen) key, which is usually in the upper right corner of your keyboard.

TIP: If you do want a picture of the entire windows computer screen (desktop background + all windows), then just press PrtScn without Alt.

Now you have copied just the active window into your clip board.

3. Open up a word processing document.  We use Microsoft Word, but you can use any application.

4. Start up a new document and when the cursor is in the blank page, press and hold the Ctrl key and press the letter V (a shortcut to PASTE the clip board).  

You can also choose EDIT > PASTE from the menu, if you prefer.

5. Now, to make the screen shots more understandable, you might want to add a few phrases such as:

- From the menu, select REPORTS > SCHEDULING

- Click the PRINTER icon in the lower left corner.

- Make sure to select the correct date, etc.

6. Then, keep taking screen shots and pasting them into your word processing document.
