How to Export a NextGen Daily Account Summary Report to use for a Payment IVR system

In order to set up a Payment IVR system if you use NextGen software, you'll need to follow the steps in this article.

STEP 1: One Time Set-up:  Create a New Saved Memorized Report

In order to use this process, you will need to be able to create a custom report from the Account Summary report in the Accounts Receivable reports section NextGen with the fields in this order:



NOTE: The Pat Amt field should have the updated patient-responsible balance.

1.1  Click on the Reports icon or the Reports menu.

1.2  Select the Report Type = Accounts Receivable, then Collections

1.3  Select the Account Summary report.


1.4  In the left column, click on Columns to select which columns to put into the report.

1.5   Select the following columns by checking them.

The accounts must be in the correct order:

  1. Acct ID   
  2. Guar Name   
  3. Birth Dt 
  4. Addr 1 
  5. Addr 2   
  6. City, State Zip   
  7. Hm Phone   
  8. Day Phone   
  9. Pat Amt   
  10. Bad Debt



1.6  Select Filter 1

Adjust the following settings:

Leave Process Date blank (for today)

Aging Dates = Date of Patient Resp

Charge Type = Encounter

Unapplied Tran = Exclude 


1.7. Select Filter 2

Set COB Equal P

This will help make sure that there are no insurance balances included in the exported report.



1.8 Select Sorting   

Pat Name = Ascending & Group By

1.9.  Save this new report as a Memorized Report with a name similar to "1800Notify Acct. Summary"


STEP 2: Set up the report to run on an automated schedule

Using the NextGen Report scheduler, set up this report to run early every morning.


STEP 3: Automatically send the file to 1800 Notify via SFTP (Secure File Transfer Protocol)

Using your SFTP automation software, set up the report you ran in Step 2 to be sent automatically to 1800 Notify.
