Automated Patient Appointment Reminder Calls using WebPT and 1-800 Notify

You can now use 1-800 Notify to easily make Appointment Reminder calls to all your scheduled patients in WebPT.

This document shows you how to save your WebPT Agenda view (daily appointment schedule) to an HTML or HTM web page file.  You will then upload this saved file to your secure account at  www.1800notify.com in order to call all your patients to remind them of upcoming appointments.

NOTE ABOUT WEB BROWSER USED:

alert.png  IMPORTANT: This process does not appear to work using Microsoft Internet Explorer.  Instead, we suggest using Google Chrome or Mozilla Firefox web browser for this process.

HOW TO GET THIS DONE:

1.) Login to WebPT

2.) If you have more than one location, click the pull-down in the upper left corner to select your clinic.

3.) View your DASHBOARD to see the Agenda View for your clinic.

4.) In the upper right corner of the Agenda window, you will see a pull-down menu.  Use this to adjust the date for the appointments.  Select Tomorrow if today is Mon, Tue, Wed or Thu.  

Select + 3 Days if today is Friday, so you will see Monday’s appointments.

5.) Click Print next to this drop down menu to see a report preview – Please verify you are looking at the correct date for the reminder calls.

6.) From the Agenda View screen, save the Agenda View to a file using these shortcut keys:

on a Windows PC, press Ctrl + S (Save)

on a Mac, press wpt-command-key.png  Command + S (Save)

7.) IMPORTANT -- Make sure to select "WEB PAGE COMPLETE" from the file type when you are saving the file -- ("HTML Only" will not work)

8.) Select a Folder on your computer that you will remember (TIP: You could create one on your desktop called “1-800 Notify”)

Adjust the file name for the date of the agenda you are printing – for example Aug. 28, 2012 would be named 08-28-12 (Don’t use “/” as they are not allowed).

Next steps, log into your account at  www.1800notify.com and upload this file and schedule when you want the calls to start.

You’re done – the calls will be made and you will then receive an email report of the calling results as soon as the calls are finished.
